Privacy Notice

This notice explains what personal data Voice Print Sweden AB ("we", "us") processes in connection with Vocal Spector — the application, the licence service, and the vocalspector.se and voiceprint.se websites. It is information, not a contract: you are not asked to consent to it, and accepting the Terms of Use does not constitute consent to any processing described here.

Who is responsible

Voice Print Sweden AB, Klosterängsvägen 11B, 226 47 Lund, Sweden, is the controller for the personal data described in this notice. Contact us at info@voiceprint.se.

Your recordings and client records stay with you

Recordings, client records, assessments and analyses are stored on your own devices, in the data location you configure under Settings → Data storage. They are not uploaded to us, and we have no access to them.

For that data you are the controller and we are not a processor. If you need a data processing agreement for some other service we provide, contact us at info@voiceprint.se.

What we process, and why

Licence holder. When a licence is issued we record the licence holder's name and email address, together with the licence keys belonging to that holder, the seat count, the edition and the licence period. The name may be an organisation or an individual. You give us these details when you place your order and we record them ourselves; the software does not collect them.

  • Purpose: issuing and administering licences, and being able to reach you about matters concerning the licence.
  • Legal basis: Art. 6(1)(b) GDPR (contract).

Licensing. When you activate a device, and each time the licence is validated, we receive and store your licence key, a device fingerprint derived from hardware identifiers, a machine label, the app and operating system version, the IP address the request came from, and the time of the request. We use this to issue and verify licences and to enforce the seat count.

  • Purpose: performing our contract with you, and protecting our legitimate interest in preventing licence misuse.
  • Legal basis: Art. 6(1)(b) GDPR (contract) and Art. 6(1)(f) GDPR (legitimate interests).

Update checks and service messages. Update and message requests carry your licence key, the installed version and the selected language, so that the correct content is served.

  • Legal basis: Art. 6(1)(b) GDPR (contract).

The website and downloads. The website sets no cookies for tracking or analytics. When you download the application we process your licence key and your IP address, to determine what you are entitled to download and to rate-limit requests.

  • Legal basis: Art. 6(1)(b) GDPR (contract) and Art. 6(1)(f) GDPR (legitimate interest in the security and availability of the service).

Contact. The contact form on the website opens your own email client; the message reaches us as an ordinary email, and we process what it contains in order to answer you.

  • Legal basis: Art. 6(1)(f) GDPR (legitimate interests).

Customer administration. Where you have bought a licence from us we process the contact and billing details needed to administer the purchase and to invoice and follow up payment, under Art. 6(1)(b) and Art. 6(1)(c) GDPR (accounting obligations).

Support. If you contact support we process what you send us for as long as needed to handle the matter. Diagnostic log files are only ever sent to us if you choose to send them; the application does not transmit logs on its own. Log files are written only on your own device and are never sent automatically. If you choose to send one, it may contain internal record numbers, visit dates and file paths from your installation, but no client names, personal identity numbers, recordings or analysis results. A log you send us is kept only while the support matter is open and is deleted when it is closed.

We do not use your data for advertising, profiling or automated decision-making, and we do not sell it.

Who else sees it

We use the following suppliers, who process personal data on our behalf under a data processing agreement: Hostup AB (operation of the licence server, Sweden) and Loopia AB (domain, website hosting and email, Sweden). We use no advertising or analytics providers.

Data is processed within the EU/EEA. We make no transfers to countries outside the EU/EEA, and we use no supplier that does so on our behalf.

Your rights

You may request access to the personal data we hold about you, and its correction, erasure, restriction or portability, and you may object to processing based on legitimate interests. Write to info@voiceprint.se.

If you believe we handle your data unlawfully you may complain to the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten, imy.se).
